We support commercial deployments, event networks, and client-specific installations. We are seeking a reliable, organized Project Coordinator / Virtual Assistant to help keep operations moving smoothly. This role supports bilingual communication, coordination of subcontractors, scheduling, and general administrative tasks within a small project load, typically 1–2 active projects.
- Project Coordination: Update and manage tasks in ClickUp, track progress on active projects, follow up with customers and subcontractors, prepare short written status updates, and maintain organized documents, notes, and schedules.
- Subcontractor Communication: Contact subcontractors for scheduling, confirm availability, share job details, gather field data (photos/notes), and keep project timelines accurate.
- Customer Communication: Respond to emails, schedule calls or site visits, send confirmations and follow-ups, and maintain clear, professional communication.
- VA / Operations Support: Organize files in shared folders, assist with vendor sourcing and quotes, prepare simple spreadsheets, monitor purchase orders or deliveries, and perform general administrative duties.
Experience in construction, telecom, fiber, or IT services. Familiarity coordinating technicians or field staff. Strong documentation and admin systems. Written and spoken English. Ability to work with project management tools (ClickUp preferred; Trello/Asana/Monday acceptable). Comfortable speaking with clients and subcontractors. Stable internet connection and a reliable home workspace.
